The Director of Alumni Engagement (Alumni Weekend and Reunions) is responsible for the strategic planning, development, administration and coordination of all programming and engagement relating to the annual Alumni Weekend and Reunions program. This position will be responsible for leading, planning, and executing a comprehensive Alumni Weekend and Reunions model for the University of Miami Alumni Association. This position reports to the Senior Director of Alumni Engagement (Alumni Weekend, Reunions and Special Constituencies) and is responsible for the supervision of one Administrative Assistant.

Essential Responsibilities:
• Develop the overall planning, strategic vision, management, marketing and alumni engagement strategy of the Alumni Weekend Program as well as Reunions for the University that fosters a high level of alumni participation, and that meets the established operational plan and engagement goals developed for the programs and the Office of Alumni Relations.
• Responsible for the identification and recruitment of reunion chairs and reunion committee members, and for the development of those committees for maximized volunteer engagement.
• Develop a comprehensive Alumni Weekend and Reunions schedule of events including but not limited to Class and Affinity Reunions, Audrey R. Finkelstein UM Experience, Alumni Avenue, Homecoming Pregame, Golden Ibis Society Celebration.
• Prepare and coordinate a sponsorship package process to secure resources for Alumni Weekend and Reunion programming and ensure sponsorship deliverables are met.
• Partner with all appropriate departments, schools and colleges for Alumni Weekend and Reunions to ensure that it is considered a University-wide event.
• Coordinate and maintain a University-wide master calendar of events and activities for the weekend.
• Responsible for the development of a University-wide management process to disseminate information and reports on the Alumni Weekend/Reunions Program in an effective and timely manner.
• Coordinate with internal and external colleagues to maximize opportunities for collaboration and develop a strategy to involve volunteer leadership groups to promote Alumni Weekend and Reunions across functional areas.
• Ensure alumni attendance is maximized for Alumni Weekend/Reunions by using a multi-channel approach to recruitment and communication including but not limited to electronic communications, direct mail, listservs, web sites, telephone campaigns, social media, regional engagement events, individual volunteer committee outreach efforts and one-on-one alumni and small group engagement appointments.
• Collaborate with the Senior Director of Alumni Engagement in the management of the University’s alumni affinity and affiliate group outreach efforts pertaining to reunions, including but not limited to developing the plan for affinity outreach, managing reunions and other engagement activities, and partnering with Director, Affinity Giving Programs to develop a strategic plan for integrated affinity outreach.
• Identify and develop new program opportunities and establish appropriate goals for designated programs.
• Develop strategic and metric-driven alumni engagement strategies in order to meet designated alumni engagement goals.

• Develop and maintain an annual operational plan according to departmental guidelines and goals.
• Administer and manage the fiscal reporting with full responsibility and accountability for assigned program budgets.
• Coordinate briefings, presentations and itineraries as needed to communicate the goals and outcomes of program initiatives.
• Track important alumni outreach objectives including alumni engagement within designated programs.
• Assist Assistant Vice President of Alumni Relations and Executive Director of Alumni Engagement with any matters or responsibilities deemed appropriate.
• Annually benchmark, monitor, and adjust as necessary, the assigned program areas as they relate to defined goals, procedures, budgets, timetables, national trends, and innovations in reunion programs.

University Liaison Activities:
• Serve as Co-Chair of the University of Miami Alumni Weekend and Homecoming Steering Committee.
• Serve as the liaison with the Division of Student Affairs, individual departments, school and college contacts, as well as select faculty and staff to further the mission of all alumni programs.
• Staff various committees and subcommittees for the University of Miami Alumni Association as assigned.

• Responsible for the supervision of one Administrative Assistant.
• Responsible for the recruitment, management and supervision of alumni volunteers and volunteer groups within identified programs.
• Responsible for project supervision of colleagues and staff in the planning and execution of Alumni Weekend and Reunions.

• Bachelor’s degree in Business, Marketing, Communications and/or related field is required.
• Minimum of four years of effective and relevant work experience is required. Equivalent combinations of education/experience may be considered. Experience supervising staff, serving in a leadership role, collaborating with multiple departments, working with volunteer based support groups and special event coordination is essential.
• Must be a self-starter and a strategic thinker with excellent organizational and interpersonal skills, a team-oriented philosophy and willing to perform hands-on implementation. Ability to persuade and negotiate with internal and external audiences is required. Excellent verbal and written communication skills are required, as well as the ability to interact with all University constituents.
• Must exhibit a willingness to build relationships with University constituents, provide outstanding customer service, and display an outgoing and engaging personality. Must be able to work in harmony with others; follow directions of, accept constructive criticism from and seek advice from supervisor. Alumni engagement and donor cultivation is paramount to the program, with events and activities utilized as a mechanism toward accomplishing engagement and cultivation goals.
• A minimum of 40 hours with extreme flexibility due to the high time demands of the position is expected. The position requires evening and weekend work extending past forty hours per week on a regular basis, and travel to regional alumni markets.
