The Administrative Assistant (casual worker) reports directly to the Development Director. This position performs a wide range of duties.

Essential Responsibilities:
•Perform secretarial tasks, proofreading, shredding confidential documents, and screening telephone calls.
•Assist with office operations, process incoming correspondence and purchase orders.
•Maintain department’s files efficiently.
•Research confidential materials associated with donors, both biographical and financial on Raiser’s Edge.
•Assist with the acknowledgment letter process by writing the gift id’ s, scanning, distributing copies, stuffing and mailing.
•Assist with the endowment reporting process by copying, scanning, filing, stuffing and mailing.
•Provide assistance with the planning special donor relations initiatives.
•Act as contact/liaison for key donors, prospects, and VIPs to ensure prospect strategies are advanced. Provide expedient assistance to requests and ensure that appropriate follow-up with constituents is successfully completed.
•Help manage cultivation and solicitation appointments for fundraisers and administrators.
•When necessary contact prospects/donors to verify biographic information, appropriateness of gift announcements, and representative or event invitee information.

• Candidate must have a high school diploma or equivalent.
• At least three years’ experience in an executive office environment. Equivalent combinations of education/experience may be considered.
• Excellent command of the English language, both oral and written.
• Must have outstanding telephone skills and etiquette, be detail-oriented, have excellent organizational, administrative and interpersonal skills.
• Initiative, diplomacy, assertiveness, and common sense are essential.
• A high degree of confidentiality is required due to the classified nature of issues inherent with the University Advancement.
• Proficiency in Word, Excel and Access for Windows.
