The University of Miami is seeking an Administrative Assistant to support the Ziff Graduate Career Service Center. Duties include: composing and typing of all correspondence (i.e., memoranda, acknowledgment letters, reports), creating and maintaining filing system, answering incoming calls, scheduling appointments, making travel arrangements (including directions, confirmations, airline reservations, hotel, rental car). Manage and reconcile expense accounts, prepare and track BERF's, check requisitions, purchase orders, order office supplies. Use PIDMS and Symplicity systems. Provide support to staff in sending invitations, tracking and reporting on RSVP's, preparing handouts/presentations. Call to confirm attendance at events. Receive guests and act as a host at special events. Requires excellent organizational, customer service, communication, and interpersonal skills.
Requirements: High School diploma or equivalent with a minimum of 5 years business office experience at a senior level. Excellent command of the English language, both oral and written, superior telephone skills. Proficiency in Microsoft Word and Excel required. Also, PowerPoint and Publisher are desirable skills. Must have initiative mixed with good, sound judgment. Must be able to handle multiple projects simultaneously and work in a dynamic environment.
