Work Location: Coral Gables

Work Schedule: 8:30 a.m. - 5:00 p.m.

The Library Assistant facilitates and maintains orderly activity in the Special Collections (SC) Reading Room and assists with operational functions in SC. Staffs the Reading Room service desk and attends to researchers and visitors to SC. Provides basic reference assistance at the reading room desk and refers researchers to the appropriate SC staff and/or faculty for in-depth services; maintains orderliness and functionality of SC reading room desk, supplies, and public service area, responsible for ordering new supplies as necessary through ARIBA or pertinent vendor catalogs. Keeps track of and maintains security of materials in SC reading room; receives redirects and takes messages for incoming phone calls to SC. Assists patrons in the use of requested materials in the SC reading room, including the handling of rare books, periodicals, maps, and manuscript materials. Instructs researchers regarding SC policies and procedures and ensures that these are followed by all users. Assists researchers in using the Richter Library online public access catalog and other research resources such as finding aids and the AEON Circulation Automation Software; assists patrons in the use of books, periodicals, and archival materials from SC; assists in coordinating with the Support Services Assistant for the retrieval of materials from SC collections area for researcher use. Secures permits for SC users who need to access to other Richter Library collections; routes requests for photocopying and digital reproduction services to Research Services and Projects Assistant. Collects and turns in photo-duplication and use fee revenues • Orders archival and office supplies; other assigned duties as needed, including help with exhibitions and special events. Assists in responding to e-mail and telephone reference queries and tracks progress of inquiries; gathers, interprets and reports statistical data on research services activities in SC. Acts as a liaison with Libraries’ System Administration and Support in troubleshooting and maintaining optimum functionality of SC workstations, programs and software. Uses Aeon, the SC Circulation system, to track patron requests and maintain patron transaction records; assists in editing and updating SC website and other online digital projects. Acts as a liaison with Facilities to report and follow up on issues concerning SC departmental access, function and security; makes basic code changes in the IBIS, the library catalog, using Millennium, under the direction of the SC cataloging librarian Communications, Relationships, and Service Applicable towards all duties; maintains helpful and supportive customer service behavior with all library customers; establishes effective interdepartmental relationships to increase unit effectiveness and disseminate information communicates frequently and effectively with Special Collections staff and other departmental staff or administration in a timely manner regarding procedures, policies, and other necessary information; performs other duties as assigned.

Requirements: High School diploma or equivalent and a minimum of 1 relevant work experience in a library or academic setting; working knowledge of Microsoft Office programs, including Word, Excel, and Access; working knowledge of e-mail software and the Internet; working knowledge of web-editing software and/or HTML/XML; familiarity with the Libraries’ IBISWEB catalog and Web site; exceptional organizational and customer service skills; excellent oral and written communication skills; ability to prioritize work and meet deadlines; ability to think analytically and critically; aptitude for accuracy and detail; ability to work productively and cooperatively with others; ability to work independently in a team environment; ability to lift, carry, push and pull up to 40 pounds.
